How far in advance do I need to book?
The sooner the better to secure the date and venue you want. This also allows ample time to arrange catering and other requirements. Can I place a pencil-booking? Yes, however you will be asked to confirm your booking one week prior to your booking or if another party inquires the same room at the same time.
Is there equipment and furniture available?
Yes, each room has enough tables and chairs that can be set up to suit your needs. All furniture is included in the room hire fee.
What AV equipment is available and what are the costs?
Each room has in-wall whiteboards. The Rotomā Conference Room has three screens and two projectors as well as one lapel and two handheld microphones. The Rotoiti and Tekapo Training Rooms have one digital whiteboard each that can be used for presentations or trainings. There are two flipcharts available. All AV equipment is included in the room hire fee except for the flipcharts which cost $75 (+ GST) each to use.
How does the payment work?

What is a reconfiguration fee?
The Rotomā, Rotoiti, Tekapo and Wakatipu rooms have interchangeable walls. They can be interlocked into one large event space. In order to remove the walls and bring them back in after the event a reconfiguration fee applies. Please enquire for more information.
Is cleaning included in the venue hire cost?
A surcharge of $75 is incurred for all Events on Khyber bookings. This covers cleaning of the facilities including both the smaller and larger rooms, and the Te Anau Café. High-touch cleaning is also available if required for an additional fee.
Is the venue available to hire out of business hours?
No sorry - we operate venue hire between 8.30am and 5.30pm, Monday to Friday.
Can I bring my own food?
Yes, you are welcome to bring your own food. The Te Anau Café has a fully equipped kitchen (fridge, oven, microwave, dishwasher) as well as water/wine glasses, water jugs, mugs and spoons. You need to bring your own plates, forks, knives and napkins. A $75 (+ GST) cleaning surcharge for using the kitchen applies.
Can I serve alcohol?
Yes, please ensure you hire a catering company and bar staff with the required alcohol license if your function or event requires alcohol.
Is there parking?
Paid carparking is available using the EMA carpark right next door. The entrance is off Auburn Street. Parking is capped at $10 per day ($3.50/hour). There is also a Wilson’s carpark located at 160 Grafton Road (2-minute walk).
